We are currently seeking a talented Office Manager to join our dynamic team based in our Copenhagen office. The employee will play a key role in supporting our office management functions and facilitating the execution of HR activities.

Office &
Facility Management:

  • Oversee all aspects of office administration, including reception, office supply management, maintaining filing systems, and managing office facilities.
  • Ensure office facilities are tidy and clean during office hours, including daily office catering and kitchen facilities cleaning.

Travel Coordination:

  • Assist in travel arrangements, including preparing invitation letters and arranging travel insurance.
  • Coordinate travel plans for employees, including flights, travel visa applications, accommodation, and transportation.

Administration:

  • Coordinate office-related procurement and services with vendors, such as pantry supplies, stationery, and office leasehold improvements.
  • Coordinate vendor payments in collaboration with headquarters.

Documentation and Record Keeping:

  • Maintain accurate records and confidentiality on any business-related and employee information, attendance, and other HR-related documents.

Employee Onboarding &
Offboarding:

  • Support the onboarding of new employees by preparing and managing required documentation.
  • Support HR team on offboarding matters with departing employees.

Accounting:

  • Handle general and administrative invoices in Netsuite, manage employee expense reimbursements, prepare First Card Excel worksheets, and upload invoices, credit card statements, and payroll documents.
  • Responsible for filing VAT tax for reimbursement.

Payroll:

  • Process monthly payroll files, track vacation usage, onboard new hires on Azet's portal, and coordinate changes in payroll files, including new bank info and tax withholding changes.

Banking:

  • Set-up payments in Nordea Bank.

Requirements:

  • Ideally having a degree or diploma in Human Resources or Business Administration
  • Experience in working in dynamic, complex business environment.
  • Good knowledge of Denmark labor laws and regulations, employment, and immigration processes.
  • Strong attention to detail and ability to work efficiently under pressure.
  • Excellent time-management, organization, and communication skills
  • Ability to work independently as well as collaboratively in a team environment.
  • Strong verbal and written communication skills are essential for interacting with employees, management, and external stakeholders.
  • Effective multitasking, time management, and organizational skills.
  • This position deals with sensitive information;
    thus, maintaining confidentiality and discretion is crucial.
  • Excellent communications skills in English.
  • Excellent skills in MS Office tools.
